General meetings : Annual and Ad-Hoc

We prepare the necessary documents for the notice to convene the annual General Meeting in accordance with your Declaration of Co-ownership and the relevant articles of the Civil Code of Quebec.

We take the necessary steps to ensure the documents for the notice to convene the annual General Meeting are distributed to the co-owners within the time limits noted in your Declaration of Co-ownership and according to the relevant articles of the Civil Code of Quebec.

We compile the questions received from the co-owners within five (5) days of receiving the notice to convene and include them in the annual general meeting agenda, as required by the Civil Code of Quebec.

At the annual General Meeting, we are available to your Condominium Corporation to answer any questions from the co-owners.We prepare a draft of the minutes from the General Meeting and submit them to your Board of Directors for approval.

When new Board members are elected, we take the necessary steps to register them on the Business Register.

Following the acceptance of the draft of the annual budget by your Board of Directors and after consultation with the co-owners at the annual General Meeting, they are informed of the contents of the budget in accordance with your Declaration of Co-ownership.

Regular meetings (monthly or as needed)

We prepare your monthly meetings and update relevant documents:

  • Setting the agenda in collaboration with the President and/or Secretary of the Corporation;
  • The minutes of the previous meeting;
  • Financial reports and budget status: statement of revenues and expenses, monthly, cumulative and comparative budget statement of receipts and disbursements, including budget item details with invoice numbering for paid invoices or any other report that facilitates decision-making, the balance sheet, bank reconciliation and list of arrears;
  • A copy of any correspondence received or sent regarding the condominium;
  • Any other relevant documents, such as claims, complaints or legal disputes;
  • Issuing summonses.

We attend regular meetings and special meetings where required. We collect the necessary information and provide advice on the management of the condominium, the interpretation of the Declaration of Co-ownership, the implementation of the regulations, the presentation of financial reports and the budget, and answer any other administrative or financial questions.

During these meetings, we inform your Board of Directors of the progress of current files and provide any recommendations or general information regarding the management of the condominium.

Following the monthly meetings, we prepare a draft of the minutes and submit them to your Board of Directors for approval.
